Job Summary: The Administrative Coordinator provides vital support to the team by managing administrative functions, coordinating projects, and ensuring effective communication across departments. This role involves organizing schedules, handling correspondence, and maintaining records while serving as a key point of contact within the organization.
Responsibilities:
Administrative Support
Assist in day-to-day administrative tasks including filing, data entry, and managing office supplies.
Organize and schedule meetings, appointments, and coordinate calendars for executives and team members.
Prepare documents, reports, and presentations as needed.
Communication and Coordination
Act as a liaison between departments to ensure smooth operations and communication.
Answer phone calls, respond to emails, and handle inquiries promptly and professionally.
Manage correspondence and distribute communications to the appropriate departments.
Project Coordination
Assist in planning and coordinating projects, tracking deadlines, and ensuring deliverables are met.
Collaborate with teams to monitor project progress and report on performance.
Record Keeping and Documentation
Maintain accurate records, databases, and files for easy retrieval.
Handle confidential information with discretion.
Office Management
Oversee the office environment, ensuring that supplies are stocked and equipment is functioning.
Coordinate office maintenance and liaise with vendors as necessary.
